Many of my friends and co-workers have asked me this question – “How to save a PPT (presentation) as a PDF File? ”. There are many fancy converters out there which do this task in a breeze, some of these are freeware while other are paid softwares, however, in this article, I will share two extremely easy and free ways to convert any Presentation file, PPT or PPTX or PPS etc. to PFD (portable Document File or Acrobat Reader File) without installing any converter software on your computer.
There are two ways of doing so, one is using Microsoft Office if it is installed on your computer, and other is using Google docs which does not require any installation. If you have MS Office installed on your computer with Microsoft Powerpoint, follow the first method, else skip it and jump to the second method.
Convert Any PPT or PPTX To PDF Using Microsoft PowerPoint
Step 1: Open the PPT File with Microsoft PowerPoint (this may not work with MS PowerPoint 2003 or earlier, refer to second method in the latter part of this article if you have old versions installed).
Step 2: Go to File Menu > Save As
Step 3 : From the Save as type drop down, select PDF.
Step4 : Give a suitable file name, file location and Press Save. This is it.
You can open the file with any PDF viewer and it will be saved optimally in PDF format with landscape view and will be easily readable in any PDF reader.
Convert Any PPT or PPTX To PDF Using Google Docs
Google Docs is the online document service by Google. It can be used to convert an PPT or PPTX or any other valid document file to PDF for free. To convert the same, follow the below steps:
Step 1: Go to docs.google.com in your Internet Browser and login with your Google / Gmail account username and password. Click on the upload icon and click Files. Select the Presentation PPT or PPTX file you need to convert. It will ask you some confirmation settings before the upload starts, click on Start Upload.
It shows you the upload progress while the file is uploading.
Step 2: After the file is successfully uploaded, it will show up on Google Docs page of your account. Click to open the file.
Step 3 : Once the file is Opened, it will show you the slides inside the browser itself.
On Top left corner in the menu, click File > Download as > PDF. This will start the download of the PDF file which is a converted version of the PPT that you have uploaded in the step 1 above.
You can simply use the downloaded file for your personal use.
One thing I noticed with Google Docs is that if a PPT is created with Microsoft PowerPoint and converted using the Google Docs, the size of PDF is larger compared to when converted with MS Office. Also the aspect ratio of the image files inside the Presentation may get altered when converted using Google docs.
